The overall main purpose of this role is to ensure the cleanliness of the Cromwell Road site and facilities. This includes working to a weekly schedule to ensure that all facilities across the site are to a high standard of cleanliness by the end of each week. This entails hoovering, mopping, sweeping, dusting, cleaning welfare facilities, emptying bins and at all times maintaining standards of health and safety, hygiene and security in the work environment.

Must Haves

  • Mature, professional approach, confidence to communicate and deal with all levels of people  both internally and externally up to and including director level
  • Excellent organisational and planning skills working on your own
  • Confidence to challenge when standards are not achieved

Key Accountabilities

Site cleanliness

Take ownership of all aspects of the cleaning of the site and facilities:

  • Management of all hygiene elements of the offices, canteen and warehouse/site areas
  • Ensure that correct and accurate completion of COSHH data paperwork
  • Ensure cleaning cupboard is up to standard stock levels and recorded
  • Ensure weekly cleaning schedule is completed and given to line manager at the end of each week for sign off
  • Replenishments of staff welfare facilities e.g. toilets
  • Ensure the warehouse cleaning equipment is maintained and any issues reported to line manager

Communication

  • Communicate to relevant management teams as and when required of any issues or concerns over safety or cleanliness
  • Notify management of occurring deficiencies or needs for repairs

Teamwork

Transport Administration
ShiftMonday - Friday | 6pm start
LocationWimblington March, Cambridgeshire

To support the Transport team by performing administration tasks within the department by:

  • Processing daily Proof of Deliveries (POD’s) within the Transport system
  • Dealing with Driver queries and managing the Briefing and Debriefing process
  • Recording of discrepancies and reporting to the relevant team members

Must Haves

  • Minimum of 1 years’ experience working in an administration based role
  • Strong PC based knowledge including an intermediate or knowledge of Excel spread sheets and web
    based systems
  • Good communication skills: Responds to enquiries via telephone and email, providing support for both internal and external contacts.
  • Confident individual who can challenge when the need arises and at the appropriate level
  • Reliable in approach to work and adaptable to fit into different teams and environments
  • Highly organised, self-sufficient  and able to work on own initiative and to tight deadlines
  • Basic understanding of driver hours and working time directive

Accountable KPI’s

  • Customer Service – To ensure all paperwork is processed with accuracy
  • Advise Transport Operations Manager/ Customer Services  of any orders that been rejected or not reached destination or that have returns once notified
  • Ensure transfer POD’s are processed within 12 hours of receipt

Key Accountabilities

Driver Briefing

Debrief and brief drivers on arrival and departure collecting and checking all driver paper work.  Record any issues/discrepancies after debriefing drivers and resolve matters escalating to management level if required. 

Briefing

  • Brief to ensure the driver fully understands the work they has been asked to do. 
  • Check they are happy with using the phone app and an initial check that the details in RR match jobs and paperwork.
  • Make sure the driver also understands what paperwork or receipts (Tesco’s) are needed to come back.

Debriefing

  • Debrief to ensure that the paperwork handed in matches the details in RR.  Make sure all receipts are attached and the necessary signatures obtained.
  • Update RR with times in & out.
  • Ensure correct trailer number, driver name and unit is in RR.
  • Scan pod into the correct job.
  • Hand any pods with discrepancies to Customer Services for processing and pass scanned and clean pods to accounts team for filing and attaching to invoices
  • Liaise with driver, transport team and relevant collection point regarding any problems i.e. returns & shortages with a POD.
  • Sign in any phones/keys
  • Conducting live debrief throughout the day with all driver deliveries, in conjunction with other Administration team members to ensure that all planned deliveries and collection times are on track and feeding back to the Transport Operators any concerns, issues, lates or failures.

Data entry

  • Enter data on to traffic software system and excel based systems in accordance with the requirements
  • Ensure accuracy of data within systems at all times

Communication

  • Contact internal customers to resolve any queries or problem that may arise with paperwork
  • Communicate to Customer Service departments to advise of any issues with loads

Additional Team Support

  • Support traffic staff on all functions of the office as and when required.  Cover for absence, such as holidays for the other administrator within the team

Palletforce Administrator
ShiftMonday to Friday | 40hrs a week between 6am -6pm
LocationWimblington March, Cambridgeshire

Assist with the smooth running of the Palletforce team by ensuring timely and accurate preparing and delivering of all stock on a supply and need basis.  Through use of both company and external systems and to act as a point of contact for internal teams within Warehousing and Transport Operations teams.  Take an active role in the direction and delivery of all stock, to ensure best practice methods are used in the execution.

To ensure and maintain good customer relations with the sub-contractors used on a regular basis, keeping costs to a minimum and ensuring the best level of customer service is maintained.  Building strong rapport with each sub-contractor through verbal communication of the plans and availability of loads.  To assist with all other transport departments as and when required. 

Must Haves:

  • Minimum of 1 years’ experience as in a fast paced transport or logistics environment

Effective and efficient planning of the Sub-Contractor activity throughout the year by:

  • Strong and clear communication of the Customers’ requirements to the Sub-Contractor both verbally and in writing
  • Promptly answering enquiries over the telephone in a professional manner and via email where necessary
  • Speaking to the third party and/customers to understand any concerns or with any delivery or planning activities
  • Working with the customer to understand their demands for short term and long term planning activities
  • Entry of all movements of jobs onto the relevant PC and web based systems
  • Reporting any concerns to the Transport / Customer Services Manager
  • Working in tandem with the other Teams such as Warehouse and Transport teams to understand the sub-contractor requirements

Minimise cost through effective and robust processes and practises to ensure the customer demands are met and communicated correctly.
Reduce Subcontracting costs through searching for the most up to date costings from the relevant area of the UK and reduce any on costs by maintaining excellent levels of communication with Subcontractors.

Production of Subcontracting stats – profit excluding fuel surcharge

Communication
Monitor the previous day’s collections and deliveries in order to provide information and communicate to relevant internal/external customers in a timely manner should issues require escalation.  Liaise directly and in a timely manner with internal/external stakeholders to advise them of issues or delays along with planned corrective action, so as to maintain a two-way communication flow and minimise customer dissatisfaction.
